Form rules

Not every form should stay open forever or accept unlimited responses. Sometimes you need to restrict who can respond, limit submissions or close a form after a certain date.

Updated

OG Forms lets you set form rules to control when and how people can submit responses.

What are form rules?

Form rules are settings that control access to your form and the response collection process.

You can use them to protect a form, prevent repeat responses or stop collecting answers when a limit is reached.

OG Forms supports these rules:

  • Password protection
  • One answer per person
  • Close the form on a specific date
  • Close the form after a response limit
  • Show a custom message when the form is closed
  • Collect an email address before the first question

Password protect your form

Use password protection when you want to limit access to people who know the password.

This is useful for private surveys, internal company forms, exclusive registrations or forms shared with a selected group.

Respondents must enter the correct password to access the form.

Allow one answer per person

Enable this rule when you want to prevent the same person from submitting multiple responses.

It is useful for applications, registrations, employee surveys and other forms where each person should respond only once.

Close your form on a date

Set a closing date when your form should only accept responses for a limited time.

For example, if event registration ends on December 15, you can set that date so the form stops accepting responses after the deadline.

Close your form after a response limit

You can also set a maximum number of responses.

For example, if you are accepting only 100 registrations, set the response limit to 100. Once the limit is reached, the form stops accepting new responses.

This is useful for events, limited seats, applications and other forms with a fixed capacity.

When a form reaches its response limit, OG Forms also emails the form owner once.

Show a custom closed message

When a form is no longer accepting responses, you can show respondents a message explaining why.

For example:

"Registration is now closed. Thank you for your interest."

A clear message helps respondents understand that the form is no longer available instead of leaving them unsure about what happened.

Collect email before the first question

You can ask respondents for their email address before they start answering the form.

This is useful when you want to collect contact details at the beginning of a survey, application or registration form.

Combine rules to control responses

You can use different rules together based on what your form needs.

For example, an event registration form could:

  • Require a password for private access.
  • Allow only one answer per person.
  • Stop accepting responses after reaching its capacity.
  • Display a custom message when registration closes.

Choose the rules that fit your form. You do not need to enable every option.
