Invite teammates
You do not have to manage your forms alone. OG Forms lets you invite teammates to your workspace and give them access based on the work they need to do.
Updated
Every workspace has four roles: Owner, Admin, Editor and Viewer. Each role comes with different permissions, so you can decide who can manage the workspace and who can simply view its forms and responses.
1. Open workspace member settings
To invite someone, open your workspace settings and find the members or team section.
2. Invite a teammate
From the members section, create an invitation for the person you want to add.
- Choose the option to invite a member.
- Enter the teammate's email address.
- Select the role you want to give them.
- Send the invitation.
The teammate can use the invitation to join your workspace.
If invitation emails are not configured, OG Forms can provide a link that you can copy and share with the teammate.
3. Choose the right role
Before sending an invitation, consider what the person needs to do in your workspace.
OG Forms supports four roles:
| Role | What they can do |
|---|---|
| Owner | Manage everything, including workspace settings, billing, deletion and ownership transfer. |
| Admin | Manage members and invitations, create and delete forms, delete responses and manage form access. |
| Editor | Create and edit forms, view responses and export answers. Cannot manage members or delete forms. |
| Viewer | View forms and responses without making changes. |
Choose the lowest level of access that lets each teammate do their work. For example, someone who only needs to review submissions can use the Viewer role.
4. What happens when someone joins?
Once a teammate accepts the invitation, they become a member of your workspace.
Forms in the workspace are available to members according to their assigned roles. You can also share an individual form with a specific teammate and give them separate access to that form.
This is useful when someone needs access to one form but does not need access to every form in the workspace.
5. Understand role restrictions
Not every member can manage the workspace.
- Owners have full control over the workspace.
- Admins can manage members and invitations, but cannot manage another Admin or promote someone to Owner.
- Editors can work with forms and responses, but cannot manage workspace members.
- Viewers can see forms and responses, but cannot edit them.
These permissions help keep important workspace actions in the hands of the right people.
